Welcome to the February issue

As some of you have never been to our offices here in Petersfield I thought I would make an open invitation for any of you who are in the area to drop by. We are always pleased to see Members. I also realise that you probably don’t really know what we all do all day! So here is a brief overview:

The ‘phone usually starts ringing as we come in through the door, particularly in the summer months it barely seems to stop. We have several lines – YDSA, ABYA and Certifying Authority (CA) – each with different numbers so we can see which line is ringing and answer accordingly. Calls may be from Members, clients, other organisations or the general public and will cover the range of association services. As with you all, the email is ever-present with 100s arriving and going out each day.

The lynch-pin of the associations is now the Customer Relationship Management (CRM) system, containing all membership, coding, tonnage, customs warehouse, event and client records. This system is increasingly aligned with the bookings and payments, giving clients and Members the ability to book on-line as well as electronic documents for those that want them.

Over the course of the last 12 months we have issued almost 3,000 invoices and Sage accounts are coming together with the CRM system over the next few weeks. Over and above these services we have the committees for ABYA, YDSA, YDSA CA and Council. These meet approximately 4-5 times a year, plus the AGMs in November.

We help with a range of queries from how to find a Member to help with a particular boat in a particular location, to VAT or Recreational Craft Directive (RCD) questions from Members and the general public. We liaise with other organisations such as the Maritime Coastguard Agency (MCA), Marine Accident Investigation Branch (MAIB), British Marine Federation (BMF) and Royal Yachting Association (RYA).

Our Marketing and Public Relations is outsourced to John Sharp at Sharp Communication and our Information Technology consultant is Craig White.

This year’s big projects are electronic forms and alignment of Sage with CRM and revision of the YDSA and YBDSA websites. The websites (particularly the Members’ area) contain the standard documents and other Member information, much of which is revised and updated on a frequent basis.

Our team has a wealth of knowledge between them and we are always happy to help Members.

So next time you are driving up or down the A3, turn off at Petersfield and come and see us!
